Loans for exhibitions

We are happy to support exhibitions with cultural or academic aims by lending items from our book collections and historical collections.

 

Submission of applications

Please submit your application to the Directorate as early as possible, and no later than three months before the exhibition opens. We will then send you confirmation of receipt; the requested items will be assessed by our conservation team and we will consult with you. We will then provide you with a draft loan agreement, which must be signed and returned to us no later than three weeks before the start of the loan period, ideally together with proof of insurance cover and a facility report. The insurance certificate must be presented no later than when the loaned items are handed over.

General conditions
  • For conservation reasons, the loan period is limited to three months.
  • Items which, due to their condition, cannot be transported or prepared for display, as well as items that have been shown in an exhibition within the past three years, cannot be loaned out
  • If a colour, fully digitised copy that reproduces the item on loan as faithfully as possible is not yet available, this must be produced at the borrower’s expense prior to the loan. A charge of 0.25 EUR per scan applies (see the Fee Schedule (the ULB Saxony-Anhalt).
  • All costs relating to packaging, transport and, where applicable, customs duties are to be borne by the borrowers.
  • The borrowers insure the loaned items against all risks „from door to door“. In the case of particularly valuable loaned items, a courier from the ULB accompanies the transport and checks the exhibition conditions on site.
  • The following conditions must be met in the exhibition spaces:
    • The temperature remains constant between 18 and 21o
    • The illuminance is a maximum of 50 lux.
    • The relative humidity remains constant at between 45 and 55 %.
    • Exposure to UV radiation must be avoided.
    • The items on loan are displayed in locked, dust-proof display cases made of laminated safety glass. The interior of the display cases must be free from acids and harmful substances.
    • Photography, film and television recordings of the items on loan are subject to authorisation and must be notified to the ULB in advance.
