FAQ on the ULB services during the Corona crisis

Which libraries are opened?

All branch libraries except Near East/ Ethnology (Ha1) and University Clinic (Ha150) are opened. You can find our opening hours here. Please note that a mouth-nose-protection is mandatory in all ULB facilities.

What services does ULB offer to students?

Even before the lockdown, our library had large holdings on eMedia. We have increased these further in the past weeks. you can use all our licensed electronic contents from the uni network (how to Install the VPN client). Use Ha:Lit    for research or try our many database options via DBIS   . In addition, many publishers have opened many offerings as a test access for MLU. You can find more information on our overview page.

Monographs published later than 1920 can be ordered via our catalogues. You will receive a mail notification and can retrieve them at one of the big libraries.

Articles from loose-leaf collections or print journals (no online availability for ULB) can be ordered via our document delivery service HARIEL. We will send you a download link.

Journal articles and books not available at ULB can be ordered via interlibrary loan from other libraries (national and international). You need an interlibrary loan account to do so. An order costs 1.50€. Please contact the Ortsleihe. The fee can be payed at the machines or on account. Since not all libraries are processing interlibrary loans at the moment if your order is unsuccessful you will receive a refund.

Please use the union catalogue    for research.

The reading rooms in most locations are opened. The use of work places requires prior registration. Mouth-nose protection is mandatory in all places and at the work desks.

Please understand that media ordered from ULB's stacks cannot be delivered to our branch libraries as usual. Media from the stacks will be delivered to the central library.

We have set up a document delivery service for our regional patrons that will supply you with articles from electronic journals as well as up to 15% from ebooks. Where can I find my patron number?

On the back of your student card/ staff card or library card. It's under the barcode. To order from our catalogues (including interlibrary loan), please also type in the zeros.

What is the password for my patron account?

Until February 2020, the password was formed by the first four letters of your last name (umlauts would be turned to oe, ue, ae). If you registered after or in March 2020, the standard password is your date of birth in the form DDMMYY. If you have changed your password and can't remember, please contact the . We'll reset your password free of charge.

How does borrowing work?

Please order your media via our catalogue Ha:Lit. They will be retrieved by ULB staff. As soon as your orders are ready for you, you will receive a mail notification.

What media can I borrow?

As a rule, we lend media published after 1920 (less then 100 years old). This is also true for library holdings that where previously reference holdings (Ha11, Ha26, Ha38).

You can't borrow journal volumes or loose-leaf collections (but you can order parts of them via our document delivery service HARIEL or our delivery service for regional patrons). Old holdings are not available as well.

How do I return literature?

At the open libraries you will find return boxes/ a returning machine. The media will be quarantined for 48hrs. Books may still show up in your patron account during this time. The fee period was increased to five days, so if you return your books in time, you will not be fined after 02 June 2020.

Please note that this quarantine also applies to already fined media. In order to return the books after 14 days, they will have to be quarantined in our return boxes 12 days after the notification of a returning fee at the latest.

How often are media retrieved from the magazine?

Media will be retrieved twice on workdays in the five big libraries, once in the smaller libraries and the external stack. There is no retrieval on saturdays and sundays. You will receive a mail notification when your order is ready.

Can I study in the libraries?

Yes. Except for the branch libraries Near East/ Ethnology (Ha1) and University Clinic (Ha150), all our locations are opened. The available workplaces are limited due to hygiene measures, registration is needed to use them. Mouth-nose protection is mandatory; at the work desks you are allowed to take the mask off.

If you are unable to wear a mouth-nose-protection due to medical reasons, we offer extended lending options. Feel free to ask.

I have reserved a seat but am not able to come. How can I make a cancelation?

You can cancel the registration. You will find a link in your registration mail, which you can use. If you have any questions, our information desk will gladly help you via phone (0345 - 55 22 166) or .

Can I reserve multiple timeslots back to back?

Yes, that is possible.

My timeslot is up. I was so engrossed in my work that I did not leave the library on time. What do I do?

If your seat has not been reserved by someone else, you may continue using it. Please reserve the additional timeslot. We habe to be able to track who is at the library due to infection protection.

Do I have to wear a mask at the reading room?

When entering the building or moving through the library it is required to wear a mask. When working at a desk you are permitted to take your mask off.

Is it possible to use the printer/copier without a reservation?

The printer/copier at the branch library Franckeplatz was moved and can be used without a reservation.

Is it possible to use carrels?

Yes, there are 7 carrels available at the branch library Heide-Süd and 10 carrels available at the branch library Steintor-Campus. Please send your reservation inquiry via mail to or with the corresponding form.

How do I pay my overdue fees?

Please use one of the payment terminals at the opened locations. The payment terminal at the branch library Medicine Campus cannot currently be used due to the confined space. The main lending desk in the central library also accepts cash payment.

How often can I renew the loan on my books?

The loan on borrowed media can be renewed up to ten times. If a title has been reserved, though, it has to be returned when the lending time ends. It cannot be renewed in this case.

Can I return media and borrow them right back?

No, this is not possible at the moment. See returning media.

What is HARIEL?

HARIEL is the document delivery service for MLU staff and associates. You can order articles from loose-leaf collections and journals available only in print at ULB. Please check beforehand, if there's an online version available.

Does interlibrary loan work at the moment?

Only partially. Not all libraries in Germany can deliver at this time. A higher percentage of orders may be denied because of this.

Ordered books and articles can be picked up at the lending desk of the central library. You will receive a notification via eMail as soon as your item is available.

To order via interlibrary loan, you need an account. Please research and order via the union catalogue   .

Can I register a patron account online?

Yes. We'd prefer if you do, to limit personal visits to a minimum. All patron groups can: pupils, students, MLU staff or regional patrons. You can find the forms here.

Please note: We'll require some documents - depending on patron group. Please send these via mail to our . We will delete the scans as soon as we have completed your registration.

Do you offer trainings for reference management software as webinars?

Yes. The next dates for Citavi and Endnote are already set. Others are currently planned. You can also find these on Stud.IP. Please have a look at our overview page.

I need to write a protocol or paper with other students. Is there a solution for us to work together on a document?

Yes, because MLU has licensed SciFlow   , a software for collaborative scientific writing. The editor is easily accessible and offers templates for different purposes as well as differen export formats (HTML, Word, PDF, LaTeX, XML).
